An exciting opportunity has arisen for a highly skilled Executive Assistant to provide comprehensive support to a dynamic CEO. This role is based on the North Shore, and offers the chance to work within an inclusive, collaborative environment that values commitment and understanding. You will also be accomplished Executive Asisstant working at C-Suite Level, who is confident at this level including regular communication at Board level. Excellent salary and parking, plus some WFH too!!

The successful candidate will be responsible for managing diary appointments, conducting research, preparing reports, and handling travel arrangements among other tasks. This role requires someone who is considerate, empathetic, and able to connect with a wide range of internal and external stakeholders.

* Provide high-level, comprehensive executive secretarial and administrative support services
* Work in an office environment with occasional travel
* Establish and maintain effective working relationships with a wide range of stakeholders


What you'll do:


As an Executive Assistant, you will play a pivotal role in supporting the CEO by providing confidential administrative support services. Your day-to-day responsibilities will include managing diary appointments, attending board meetings and recording minutes. You will also conduct research on various topics and present your findings to the executive team. Your ability to anticipate needs and assess requests will be crucial in this role as you will be the main point of contact for the CEO. Your excellent organisational skills will be put to good use as you prepare reports, presentations and other documents. You will also have the opportunity to demonstrate your problem-solving skills by responding to issues and enquiries on behalf of the CEO.

* Manage and administer the diary appointments for the CEO, scheduling, organising, and prioritising meetings often with conflicting deadlines
* Attend Board meetings, record minutes and appropriate Board papers, distribution of Board Packs, and follow up of information as required
* Conduct research on various topics and present findings to the executive
* Be the point of contact for the CEO, anticipating needs, analysing, and assessing requests in order to screen and prioritise urgent matters
* Prepare reports, presentations, and other documents as needed
* Exercise discretion and diplomacy, maintaining confidentiality at all times
* Undertake meeting administration, organise catering when required
* Respond to issues, enquires, and communications on behalf of the CEO as appropriate
* Assist with personal tasks such as errands, shopping, and scheduling appointments
* Monitor, implement and evaluate administrative practices, systems, and procedures to optimise efficiency


What you bring:


The ideal candidate for this Executive Assistant role will bring a wealth of experience and a strong skill set. You will have an NCEA or equivalent recognised qualification and at least 3 years experience in a similar role. Your proficiency in using Microsoft Office applications and your excellent verbal, written, and interpersonal communication skills will be essential in this role. Your high level of integrity and professionalism, coupled with your strong organisational ability, will enable you to thrive in this busy environment. Your excellent self-management skills will allow you to work effectively without direct supervision, while your ability to interact with individuals at all levels of the organisation will be key to your success.

* NCEA or equivalent recognised qualification
* 3 or more years proven experience working in an Executive Assistant role
* Proven experience with Board meetings, taking minutes and distribution of Board reports.
* Proficient in using excel, word, powerpoint as well as other MS products
* Clean and current driver's licence
* Excellent verbal, written, interpersonal communication skills
* High level of integrity and professionalism
* Strong organisational ability to optimise and prioritise conflicting demands in a busy environment
* Excellent self-management skills, including working effectively without direct supervision
* Ability to interact with individuals at all levels of the organisations
