Are you a highly organised administrator who enjoys supporting people and keeping an office running efficiently? We are seeking an experienced Office Coordinator to join a busy and collaborative team in Christchurch. This is a varied role where you'll be the hub of the office, providing administrative, facilities, workplace and coordination support across the organisation.

About the Role

Reporting to the Executive Assistant, this position plays a key role in ensuring the smooth day-to-day operation of the office while delivering high-quality support across a broad range of organisational activities.

Key responsibilities include:

  • Acting as the first point of contact for visitors, suppliers and stakeholders
  • Coordinating office operations and maintaining a professional workplace environment
  • Managing meeting room bookings, office supplies, mail and courier requirements
  • Coordinating facilities maintenance and supplier relationships
  • Supporting onboarding and offboarding activities
  • Arranging domestic and international travel
  • Providing meeting and governance administration support
  • Maintaining organisational records, registers and documentation
  • Supporting health, safety and wellbeing initiatives
  • Coordinating events, functions and employee engagement activities
  • Identifying opportunities to improve systems, processes and service delivery

About You

To be successful in this role, you will be a proactive and adaptable professional who enjoys working across multiple priorities and delivering exceptional service.

You will bring:

  • At least 3-4 years' experience in office coordination, administration or corporate support roles
  • Outstanding organisational and time management skills
  • Strong customer service and stakeholder engagement capability
  • Excellent written and verbal communication skills
  • Advanced Microsoft Office skills
  • Experience managing records, systems and administrative processes
  • The ability to exercise discretion and maintain confidentiality
  • A positive, solutions-focused approach and a willingness to take ownership of tasks

Experience supporting governance processes, coordinating facilities and suppliers, or working within government, professional services or corporate environments will be highly regarded.
