Executive Assistant - temporary role
We are currently seeking an experienced Executive Assistant for a fantastic temporary opportunity within a government organisation based in Wellington. This is an immediate start role running through until 13 November, supporting senior leaders in a fast-paced and high-performing environment.
This position would suit a seasoned Executive Assistant who has previous experience working within the public sector and can confidently hit the ground running from day one.
About the Role
As Executive Assistant, you will provide high-level administrative and executive support, ensuring the smooth day-to-day operation of the leadership team. You will be proactive, highly organised, and able to manage competing priorities while maintaining professionalism and discretion.
Key Duties and Responsibilities
- Provide comprehensive executive support to senior leaders and management teams
- Manage complex calendars, appointments, and scheduling requirements
- Coordinate internal and external meetings, including preparation of agendas, papers, and meeting packs
- Arrange travel, accommodation, and detailed itineraries
- Prepare correspondence, reports, presentations, and briefing documents
- Take meeting minutes and track actions and deliverables
- Manage confidential information with the utmost discretion
- Act as a key point of contact for internal and external stakeholders
- Coordinate team events, workshops, and leadership meetings
- Maintain accurate records and filing systems
- Support project coordination and administrative activities as required
- Prioritise and manage competing deadlines in a fast-paced environment
- Assist with financial administration, including purchase orders, invoicing, and expense management where required
About You
To be successful in this role, you will have:
- Proven experience as an Executive Assistant supporting senior executives or leadership teams
- Previous experience working within a government or public sector environment
- Exceptional organisation and time management skills
- Strong communication and stakeholder management abilities
- Advanced Microsoft Office skills, including Outlook, Word, PowerPoint, and Teams
- The ability to work independently and manage multiple priorities
- High levels of professionalism, discretion, and attention to detail
- Availability to start immediately
